Gyms, fitness studios, and personal trainers have two distinct booking modes: 1-on-1 sessions (the personal-trainer model) and group classes with capacity (the studio model). MyBookaro handles both. The provider-first architecture maps cleanly to a gym with multiple trainers, each managing their own client roster, schedule, and rates.
Why gyms and trainers pick MyBookaro
Per-trainer schedules and rates
Each personal trainer sets their own hours and their own session rates. Different trainers can charge different prices for the same service type.
Per-slot capacity for group classes
Each provider has a configurable “slots per interval” setting (default 1, settable higher). Setting an instructor to 12 slots-per-interval means up to 12 customers can book the same time block — effectively a 12-person class. Bookings beyond capacity stop being offered for that slot.
Paid sessions through WooCommerce
Pro adds WooCommerce checkout for paid sessions. Sell single sessions or multi-session bundles as standard WooCommerce products; payment is taken via Stripe at booking time. Native session-credit accounting (e.g. “8 of 10 sessions remaining”) is not yet built in — track balances through WooCommerce orders.
Per-provider approval mode
Each trainer chooses their own approval workflow: request-to-book (manually approve each booking) or instant-book (auto-confirm on submission). Switch between modes from the provider dashboard without admin involvement.
Client self-service rebooking
Clients reschedule or cancel from their own dashboard within your defined window. Trainers stop being a calendar.
The two gym booking models compared
1-on-1 trainer model: Each personal trainer is a Provider. Clients book individual sessions with a specific trainer. Each session blocks the trainer’s calendar but doesn’t affect other trainers.
Group class model: Each instructor is a Provider with their slot-capacity set higher than 1 — for example, 12 for a 12-person Spin class. When 12 customers have booked the same time slot, the slot stops appearing as available. There is no dedicated “class capacity” admin UI yet; the same outcome is achieved through the provider’s slots-per-interval setting.
You can run both models on the same site — most full-service gyms do. Personal training keeps slot-capacity at 1; group classes set it to the class size.
FAQ
Can we sell 10-session packages?
Yes through Pro + WooCommerce — but with manual reconciliation. Sell a 10-session bundle as a standard WooCommerce product (one-time or via WooCommerce Subscriptions for recurring memberships). Customers purchase, then book individual sessions; you reconcile session-balance against WooCommerce orders. Native “8 of 10 sessions remaining” accounting is not yet built in — that’s on the roadmap. For now, most gyms either track balance off-site or use a WooCommerce add-on that exposes purchased quantity per customer.
Does it handle class capacity (e.g., 12 spots for a Spin class)?
Partially. Each provider has a per-time-slot capacity setting (the “slots per interval” value on their availability). Setting it to 12 means up to 12 customers can book the same time block — effectively a 12-person class. Bookings beyond that are not offered. There is no dedicated “class capacity per service” admin UI yet, and waitlists are not yet supported — when a slot fills, customers see no availability for that time. Both are tracked on the roadmap.
Can trainers see only their own clients?
Yes — provider dashboards scope each trainer to their own bookings. The gym manager sees everything across all trainers.
How do I handle recurring weekly bookings (e.g., a client books every Tuesday 7 AM)?
Customers book individual sessions and the dashboard offers a “rebook same time next week” action. Native multi-week recurring bookings are on the roadmap; today the rebook-next-week flow handles 90% of recurring use cases.
Can the client cancel without contacting us?
Yes — cancellation windows are configurable per service. Inside the window, the client cancels from their dashboard and (Pro) receives an automatic refund or session-credit restoration.
